Privacy Policy

Live Tourneys runs youth and amateur sports tournaments — registration, payments, scheduling, and rosters. That means we handle information about organizers, coaches, parents, and athletes, many of whom are minors. This policy explains what we collect, how we use it, and the choices you have. We try to keep it plain.
1. The short version
- We collect what the platform needs to run an event — accounts, teams, registrations, rosters, payments, and event communications.
- We don’t sell personal information, and we don’t show third-party advertising.
- Youth athlete data is handled with extra care. Profiles for minors require a parent or guardian, and we only use that data to run the events the athlete is part of.
- Payments are processed by Stripe. We never see or store full card numbers.
- You can access, correct, export, or delete your information — see Your rights.
2. Information we collect
We collect information you provide, information created as you use the platform, and a limited amount from the services we rely on.
- Account information. When you sign in (with Google or an email magic link), we receive your name, email address, and an authentication identifier. We don’t store passwords.
- Organization & event information. For organizers: your organization name, region, events, courts and venues, divisions, schedules, and pricing.
- Team & registration information. Team names, clubs, the coach who registered, division and seeding, and registration and payment status.
- Athlete (player) profiles. First and last name, and optionally graduation year or date of birth, jersey number, and position. Date of birth is used only to determine whether an athlete is a minor and whether a guardian is required.
- Parent / guardian & contact information. Names, email addresses, and phone numbers for coaches, managers, and the guardians of minor athletes, along with the consent status for event messaging.
- Payments. Registration payments are processed by Stripe. We receive confirmation, amounts, and status — not your full card number or banking credentials.
- Usage & device data. Standard log data (IP address, browser type, pages and actions) and session cookies needed to keep you signed in and keep the platform secure.
3. How we use information
- Operate the platform: run registration, collect payments, generate conflict-free schedules, and manage rosters.
- Send event and account communications you’d expect — registration confirmations, payment reminders, schedule updates, invitations, and game-day notices.
- Maintain an organizer’s reusable network of teams and contacts who have opted in, so past participants can be invited to future events.
- Keep the platform secure, prevent fraud and abuse, and meet legal and tax obligations.
- Improve reliability and performance. We do not use athlete data to build advertising profiles.
4. Children & youth athletes
Live Tourneys is used to run youth sports, so athletes are often minors and some are under 13. We treat youth data as sensitive.
- A responsible adult creates the account. Accounts are held by organizers, coaches, and parents/guardians — not by young children. Athletes under 13 are managed by a parent or guardian; the platform requires guardian contact details before such a profile is active.
- Limited purpose. A minor’s information is used only to register and manage that athlete for the events they participate in (rosters, scheduling, eligibility, and event communications) — never for advertising.
- Guardian control. A parent or guardian can review their child’s information, correct it, withdraw consent, or request deletion by contacting us or the athlete’s organizer.
- Organizer responsibility. Organizers and coaches who add athletes confirm they have the authority and the necessary parental consent to provide that information.
If you believe a child’s information was provided without proper guardian consent, contact us at privacy@livetourneys.com and we will delete it.
6. Messaging & consent
Event messaging is consent-based. Coaches and guardians opt in to receive event communications during registration, and every message includes a way to opt out. Standard message and data rates may apply to text messages. Opting out of event messaging may mean you miss schedule changes and game-day notices for that event.
7. Organizers & our role
For the participant data inside an event (teams, rosters, athlete and guardian details), the organizer running that event decides how the data is used and is responsible for having the right consents. Live Tourneys acts as a processor, handling that data on the organizer’s behalf to provide the platform. For account data and the platform itself, Live Tourneysis the controller. If you participated in an event and want your data changed or removed, contact that organizer or us and we’ll help.
9. Data retention
We keep information for as long as your account or an organizer’s account is active, and as needed to provide the service, resolve disputes, and meet legal, accounting, and tax requirements. Event history may be retained so organizers can re-invite opted-in teams to future events. When data is no longer needed, we delete or de-identify it.
10. Security
We protect information with encryption in transit, access controls, and row-level data isolation so each organization can only reach its own data. No system is perfectly secure, but we work to safeguard your information and to notify you if a breach affecting your data occurs, as required by law.
11. Your rights & choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you, and get a copy.
- Correct information that’s inaccurate or incomplete.
- Delete your information, subject to legal retention requirements.
- Withdraw consent for event messaging at any time.
- Object to or restrict certain processing.
To exercise any of these, email privacy@livetourneys.com. We will not discriminate against you for exercising your rights. We do not sell personal information.
12. Changes to this policy
We may update this policy as the platform evolves or the law changes. When we make material changes, we’ll update the date above and, where appropriate, notify you. Continuing to use Live Tourneys after an update means you accept the revised policy.
